The Opportunity:
The Finance Administration Assistant will support the Finance Manager in the effective and accurate operation of the school’s financial processes. This role is essential to ensuring the smooth running of the finance function and contributing to the school’s overall success.
Key Responsibilities:
- Set up new customer accounts on Xero and create draft invoices for approval.
- Respond to queries from Boroughs and parents regarding invoices and resolve related issues.
- Manage school accounts on Local Education Authority (LEA) invoicing portals, including uploading invoices and liaising with Boroughs.
- Analyse customer and local authority accounts to identify outstanding fees.
- Capture and process supplier invoices, raise and resolve queries, and create digital VAT invoices on Xero.
- Monitor casual staff timesheets and prepare digital invoices on Xero for approval.
- Process staff expense claims through Edupay.
- Maintain the school’s energy register to support monitoring and analysis of energy consumption.
- Collate data on fees, bursaries, and staffing to support census and statutory reporting.
- Provide administrative and financial support to the Finance Manager and assist with ad hoc tasks.
Qualifications & Skills:
Required
- Excellent organisational skills with the ability to manage multiple tasks effectively.
- Previous experience in a finance role.
- High level of attention to detail and accuracy.
- Ability to handle confidential information with discretion and professionalism.
- Good communication skills and the ability to respond to queries calmly and professionally.
- Strong time management skills and the ability to meet deadlines.
Preferred
- Proficiency in Excel.
- Experience of using Xero and Edupay.
