The Opportunity:
As an Office Administrator, you will play a vital role in supporting the smooth day-to-day operations of a school. This is an excellent opportunity for someone who is highly organized, detail-oriented, and passionate about contributing to a thriving educational institution.
Key Responsibilities:
- Manage and maintain strong relationships with students, parents, colleagues, and external stakeholders.
- Support the school’s financial processes, including invoicing, record-keeping, and supplier management.
- Oversee general office management tasks across HR, finance, and operations.
- Generate and manage invoices for parents, ensuring accurate and timely processing in Xero.
- Handle billing inquiries and manage payments over the phone with suppliers.
- Administer the Headteacher’s diary, including scheduling, gatekeeping, and preparing for meetings and events.
- Manage pupil files, SCR, email correspondence, and confidential personnel records.
- Provide administrative support for meetings, events, and visitor management.
Qualifications & Skills:
Required
- Experience working in a busy school or office environment, ideally as a School Secretary or Head’s PA.
- Strong IT skills, including proficiency in Microsoft Word, Excel, Publisher, and PowerPoint.
- Ability to work independently and manage priorities during high-pressure periods.
- Excellent organizational and administrative skills.
Preferred
- Knowledge of Xero accounting software.
- Experience with financial administration and invoicing processes.
